Sparkling Pools Auckland Limited ("Sparkling Pools", "we", "us", "our") respects your privacy. This policy explains how we collect, use, store, share and protect personal information, and what rights you have in relation to it.
We handle personal information in accordance with the Privacy Act 2020 and the information privacy principles set out in that Act.
This policy applies to our website at sparklingpools.co.nz, to enquiries you make with us by any method, and to the services we provide to residential and commercial clients across Auckland.

The personal information we collect
The information we collect depends on how you interact with us. It may include:
Contact and identity details — your name, email address, phone number, and the address of the property where your pool is located.
Property and pool details — pool type, size, construction, surface finish, equipment installed, water conditions, service access arrangements, and gate or alarm codes where you provide them so our technicians can reach the pool.
Photographs — images of your pool, plant and surrounding areas taken during a visit, for the purposes described in the section on photographs below.
Service records — the services you have requested or received, visit dates and notes, water test results, chemicals and parts used, faults identified, quotes, and correspondence between us.
Billing information — invoices, payment records, account status, and bank account or automatic payment details where you set these up with us. We do not store full credit or debit card numbers on our systems.
Website information — see the section on cookies, analytics and advertising below.
Marketing preferences — whether you have opted in to our mailing list, and any subsequent unsubscribe request.
We only collect personal information that we need for the purposes described in this policy. You do not have to give us the information we ask for, but if you do not, we may be unable to quote for, schedule or carry out work at your property.
How we collect personal information
Most personal information we hold is collected directly from you — when you complete a form on our website, request a quote, call or email us, sign up to our mailing list, engage us for a service, or speak with a technician at your property.
We may also collect personal information about you from other people or organisations. This is known as indirect collection. It happens most often when:
- a property manager, real estate agent, landlord or tenant provides your details so we can arrange access or service a pool at a property connected to you;
- a body corporate, committee or building manager provides contact details for residents or site contacts at a shared facility;
- a family member, neighbour or occupant arranges service on your behalf;
- we acquire another pool service business, or a provider transfers its client records to us, and those records include your details;
- someone refers you to us, or you are named as a contact in an enquiry made by another person.
Where we collect your personal information from a source other than you, we will take reasonable steps to make you aware of that collection and of the matters set out in this policy, as soon as reasonably practicable, unless an exception under the Privacy Act 2020 applies.
Why we collect and use personal information
We use personal information to:
- respond to your enquiry and prepare quotes and estimates;
- schedule, carry out and record pool maintenance, valet, cleaning, repair, renovation, resurfacing and electrical work;
- supply, install and support pool equipment;
- arrange access to your property and keep our technicians safe on site;
- maintain a service history for your pool so that recurring issues can be identified and future work carried out correctly;
- invoice you, process payments and manage your account;
- respond to questions, feedback, warranty matters and complaints;
- meet our health and safety, tax, and other legal obligations;
- improve our services and our website;
- send you marketing communications, where the section below applies.
We will not use your personal information for a purpose unrelated to those set out above unless you have authorised it, or the Privacy Act 2020 otherwise permits it.
Photographs of work we carry out
We photograph pools, plant and completed work as part of our normal record-keeping. These images help us track the condition of a pool over time, document faults, support warranty and insurance matters, and demonstrate the standard of our work.
We may also use these images in our marketing — on our website, in project galleries, in social media posts, in advertising and in printed material.
Where we do this, we do not publish your name, street address or any other detail that would identify you or your property. We may describe the general suburb or area in which work was carried out.
If you would prefer that we do not use photographs of your pool in our marketing, tell us at any time and we will remove them from future use. Contact us using the details at the end of this policy.
Marketing communications
If you opt in on one of our website forms, subscribe to our newsletter, or are an existing Sparkling Pools client, we may send you occasional emails containing pool care advice, seasonal reminders, service updates, product information and offers.
You can opt out at any time using the unsubscribe link included in every marketing email we send, or by emailing info@sparklingpools.co.nz. We will action unsubscribe requests within five working days, and in most cases far sooner.
Unsubscribing from marketing does not affect the operational messages we need to send you as a client — for example appointment confirmations, service reports, quotes, invoices and account notices. These are not marketing messages and will continue while you hold an account with us.
We do not sell, rent or trade your contact details to third parties for their own marketing purposes.
Cookies, analytics and advertising
Our website uses cookies and similar technologies. Cookies are small files placed on your device that help the site function correctly and help us understand how visitors use it.
We currently use:
Webflow — our website hosting platform, which sets cookies necessary for the site to operate.
Google Analytics 4 — to collect aggregate statistics about traffic, popular pages, and how visitors arrive at and move through our site.
Google Ads — to measure the performance of our advertising and to show our ads to people who have previously visited our website. This is known as remarketing.
We may add similar analytics or advertising tools in future, including advertising platforms such as Meta. Where we do, we will update this policy.
These tools may collect information such as your IP address, device and browser type, the pages you visit, and how you reached our site. Google's own privacy policy explains how it handles this information.
Most browsers let you refuse or delete cookies through their settings. You can also opt out of personalised Google advertising through Google's ad settings. If you disable cookies, parts of our website may not work as intended.
Who we share personal information with
We may share your personal information with:
- our employees and technicians, so they can carry out the work you have requested;
- subcontractors and trade partners engaged on your job, such as electricians, tilers, plant operators and equipment installers, where the work requires it;
- suppliers and manufacturers, where we need to arrange a warranty claim, a part or a specialist repair on your behalf;
- our service providers, including website hosting, email, accounting, payment processing, scheduling, analytics, advertising and email marketing platforms;
- a property manager, body corporate, landlord or building manager, where they engaged us in relation to your property and need to know the outcome of the work;
- our professional advisers, including accountants, insurers and lawyers;
- government agencies, regulators or law enforcement, where required or permitted by law;
- a purchaser or successor, if all or part of our business is sold or transferred.
We require our service providers to protect personal information and to use it only for the purposes we have engaged them for.
Storage, security and overseas hosting
We take reasonable steps to protect personal information from loss, misuse, unauthorised access, disclosure, alteration and destruction. These include restricting access to those who need it, using access-controlled systems, and keeping our software up to date.
Some of our service providers store information on servers outside New Zealand, including our website host and our analytics and advertising providers. Where we disclose personal information to an overseas provider, we take reasonable steps to satisfy ourselves that it will be protected by comparable safeguards to those under the Privacy Act 2020.
No method of transmission or storage is completely secure. While we work to protect your information, we cannot guarantee absolute security.
How long we keep personal information
We keep personal information for as long as we need it for the purposes described in this policy, or for as long as we are required to keep it by law.
Client and service records — we retain client details and pool service histories on an ongoing basis. A pool's service history remains useful for as long as that pool exists, and being able to look back at previous work, past faults and earlier surface or equipment decisions helps us service it correctly in future.
Financial records — business and tax records are retained for at least seven years, in line with Inland Revenue requirements.
Quote enquiries that do not proceed — where you request a quote and do not go ahead, we retain your enquiry for one year, then securely delete it.
Mailing list records — we retain your subscription details until you unsubscribe. After you unsubscribe we keep only the minimum record needed to make sure we do not contact you again.
When personal information is no longer required, we take reasonable steps to securely destroy it or de-identify it.
Your rights
Under the Privacy Act 2020 you have the right to ask us for confirmation of whether we hold personal information about you, to request access to that information, and to request that we correct it if it is wrong.
To make a request, contact us using the details at the end of this policy. We may need to verify your identity before releasing information. We will respond as soon as reasonably practicable and no later than 20 working days after receiving your request.
There is normally no charge for making a request. If a charge applies, we will tell you before proceeding.
In limited circumstances we may decline a request — for example where the information relates to another person, or where the Privacy Act 2020 allows us to refuse. If we decline, we will explain why and tell you how to complain.
If we cannot agree to correct information, you may ask us to attach a statement of the correction sought to the information we hold.
Privacy breaches
If a privacy breach occurs and we believe it has caused, or is likely to cause, serious harm, we will notify the Office of the Privacy Commissioner and the affected individuals as soon as practicable, as required by the Privacy Act 2020.
Complaints
If you have a concern about how we have handled your personal information, please contact us first so we can try to resolve it. We take privacy complaints seriously and will respond promptly.

Children
Our services are directed at property owners and managers, and our website is not intended for children. We do not knowingly collect personal information from children. If you believe we have collected information about a child, please contact us and we will delete it.
Changes to this policy
We may update this policy from time to time to reflect changes to our practices or to the law. The current version will always be available on our website, with the date it took effect shown below. Where changes are significant, we will take reasonable steps to bring them to your attention.
